Reservations

Guided tours of the Gilcrease Museum’s permanent collection galleries are available to school groups. Tours are free of charge and can be scheduled daily from 10 a.m. until 3 p.m. All tours should be scheduled with Lanette Coppage, Education Director, at least three weeks in advance. To make a reservation, please call (918) 596-2737 or email gilcrease-tours@utulsa.edu.

When you call (or email) to schedule your tour, please have the following information available:

  • Day/Date of visit (please have alternative dates in mind in case your first choice is not available)
  • Time of day you would like to tour
  • Grade level(s)
  • Number of students
  • Number of chaperones (see Chaperone Policy below)
  • Name of group contact and his/her contact information (NOTE: this person should be accompanying the group on their museum visit)
  • Which tour you would like to schedule
  • Name of school, mailing address, school district and county

Chaperone Policy

One adult chaperone per ten students is required for all school group visits. Please review Chaperone Expectations with all adults prior to your tour.

Tour Policies

We have implemented some new policies regarding tour scheduling and logistics, so please keep these in mind when scheduling your tour.

  • Three to five days in advance of your tour, your lead docent will contact you to confirm details, go over logistics and answer any last minute questions you might have. Please be sure to touch base with this person prior to your tour.

  • Plan to arrive at the museum at least fifteen minutes before the scheduled start time of your tour.

  • If you are running late for your tour please call the museum’s Greeter’s Desk at (918)596-2791 to let your lead docent know that you are lost, in a traffic jam, etc., and your estimated arrival time.

Please follow the recommended guidelines for chaperones, number of students per tour and grade levels. Following these policies will result in a positive museum experience for your students and will let you, as the educator, shine for planning such an awesome trip for your students.

Bus Parking

The entrance for bus parking is off of Gilcrease Museum Road in the North parking lot. Bus drivers should drop off groups in this lot, and students and chaperones can walk up the path to the main entrance to meet their docents.

Lunch

Groups may bring sack lunches to eat outdoors on museum grounds. There are picnic tables and trash receptacles available in Stuart Park near the small pond. Stuart Park is located off of the North Parking lot, down the stone steps. If you plan to eat lunch on the grounds, please mention this when booking your tour. Also, make sure to put trash in the receptacles and leave the park the way that you found it. In case of inclement weather, we suggest eating on the bus or heading back to school because, at this time, there are no indoor eating facilities at the museum. Museum Shop
