Guidelines for Obtaining Transportation Funding

In order to qualify for bus reimbursement funding your school must be either a public institution or a Title I school.  Funding is available on a first-come, first served basis.

 Prior to your tour:

When you are booking your tour, make an initial request for bus funding.  Follow that initial   request with a written request on school letterhead.  This written request should be made prior to your tour and should include the following:           

• date of scheduled tour
• number of students visiting the museum
• an estimate of the total amount of funds you are requesting
• a breakdown of these funds (i.e., bus driver fee, gas, mileage, etc.)

Your transportation department should be able to provide you with this estimate.  You can either mail or fax this letter. 

During your tour:

            Bus reimbursement is contingent upon acceptable group behavior while visiting the Gilcrease Museum and grounds.  If a group’s behavior is questionable, museum security and staff will decide if bus reimbursement funds will be dispersed. 

Following your tour:

Fill out a Museum Visit Evaluation and submit it to Sara Klein (these can be mailed, faxed or emailed).

Have your transportation department invoice the museum and we will pay up to $250 per bus toward your transportation fees. (IMPORTANT: if we do not receive an invoice following your tour, funds will not be dispersed.)

Transportation Reimbursement Funding Checklist for Teachers:

• Make initial request for funding while scheduling tour.
• Send letter on school letter head to Sara Klein.
• Encourage students to conduct themselves in an appropriate manner while visiting the museum (please see Museum Manners for Students for specifics).
• Complete a Museum Visit Evaluation and submit it to Sara Klein.
• Invoice the museum for total amount of transportation expenses.

After all of these steps have been taken, the Gilcrease Museum will issues funds for bus reimbursement to your school.
